Cancellation Policy
SMBA Booking and Cancellation Policy
Booking and Payment
- Full payment is due upon registration for any session, program, or camp. Your space is not confirmed until payment is received.
- All participants must complete a Release of Liability Waiver and Intake Form before starting any session, program, or camp.
- You will receive information about your session, program, or camp no later than 48 hours before the scheduled date.
Cancellations
- 14 days or more before the start date: Refund minus a $25 administration fee.
- 13-6 days before the start date: Credit only, valid for 12 months and transferable to siblings
- 5 days or less before the start date or after the program has started: No refund or credit will be provided as coaches and spots are fully committed
Squamish Mountain Bike Academy Ltd reserves the right to cancel any session, program, or camp due to inclement weather, insufficient bookings, or events beyond our control (e.g., natural disasters, government restrictions). In such cases, alternate dates will be arranged, or a full refund will be provided.
Medical Exceptions
- For season-ending medical issues (e.g, broken bone, concussion), families will receive a credit for unused sessions
- Short-term illness or missed sessions are not eligible for refund or credit
Changes
- Changes can be made 6 days or more before the start date and are subject to a $25 administration fee per change
- Changes must occur within the same calendar year and are subject to availability.
Missed Sessions / Transfers
- Missed sessions, programs, or camps cannot be transferred to another session, program, or camp.
- Credits are valid for 12 months from the date of issue and are transferable to siblings
Tardiness
- Clients arriving late will receive the remaining scheduled session, program, or camp time unless other arrangements have been made with the coach.
SMBA Extreme Weather Event Policy
At SMBA, your child’s safety is our top priority. British Columbia’s weather can be unpredictable, so we have put clear guidelines in place to help us respond to wildfire smoke, heat, snow, heavy rain and high winds.

How do we monitor conditions?
We check trusted sources daily, including:

- Environment Canada alerts and forecasts
- BC Air Quality Index and PM2.5 Readings
- Local trail and park advisories
- BC Wildfire Service and Emergency Management BC updates
Condition | Action |
Extreme Heat (≥ 30°C with Humidex) | Modify or cancel strenuous activities; increase hydration breaks |
Snow/Ice Conditions | Cancel activities if trails are unsafe or access roads are closed |
Atmospheric Rivers / Heavy Rain | Cancel or relocate activities if flooding or trail washouts are expected |
High Winds (> 40 km/h) | Suspend activities in forested areas due to falling tree risk |
Wildfire Smoke (AQHI ≥ 7) | Cancel outdoor activities; notify families |
How will we communicate any changes to you?

- We will notify families as soon as a decision has been made
- Updates will be sent via email, WhatsApp, and Social Media
Will I get a refund for missed lessons?

- Refunds or credits may be offered depending on the nature and duration of the disruption
- No refunds for voluntary withdrawals unless the conditions meet our cancellation thresholds
- Children with asthma, heart conditions, or heat sensitivity may be advised to stay home
- Our staff are trained to spot signs of heat exhaustion, smoke irritation, and cold exposure
